Separate essentials from preferences
Specify the use case, preferred region, operating system, CPU, memory, disks and networking. Distinguish fixed requirements from preferred options so alternatives can be compared when availability or budget is constrained.
Add timing and delivery objectives
Describe the expected service term, budget range, target start date and any migration or deployment assistance. For multi-server projects, include quantities and connectivity requirements between nodes.
Review the formal proposal
Check specifications, currency, billing period, initial and renewal charges, delivery scope and quote validity. Record availability and delivery arrangements for custom services clearly before payment.
